Three answers only: agree, disagree, or unknown. Deterministic rules. Same inputs, same answer.
1. Overview
ValveRide, LLC ("ValveRide," "we," "us," or "our") operates ValveRide Custody, a platform that assembles signed chain of custody records for freight. This Privacy Policy describes how we collect, use, store, and protect information when you use our website, platform, or services.
2. Information We Collect
- Access requests and contact forms: name, company, work email, phone number, role, and anything you write to us.
- Account information: name, email address, company, and role when an account is created for you.
- Shipper data: loads, tenders, reference numbers, facility events, and shipping documents that a shipper sends through the Custody API or other approved connections.
- Carrier records: load records, custody events derived from ELD and GPS data, and shipping documents, accessed only with the carrier's approval and only for the loads that approval covers.
- Public carrier data: federal operating authority and insurance status from public government sources.
- Integration partner data: custody events supplied by connected devices and systems, with the customer's approval.
- Usage data: log data, API request records, and platform activity associated with your account.
Shipping documents can contain personal information about drivers, dock staff, and other individuals, such as a name or signature. We process that information only as part of the custody record it appears in.
3. What We Do Not Collect or Do
- We do not collect carrier rates, pricing, or discounts.
- We do not contact drivers. Custody sends no texts, calls, emails, or app notifications to drivers.
- We process location data to establish custody events such as arrival and departure. Custody does not display a live map and is not a real-time tracking service.
- We do not sell personal information or customer data.
4. How We Use Information
- To assemble, sign, timestamp, and deliver Evidence Packs to the customers entitled to them.
- To match the reference numbers different parties use for the same load.
- To operate, secure, support, and improve the platform.
- To respond to access requests, inquiries, and support requests.
- To operate the Custody Premier program, including the public status page described in Section 7.
- To comply with legal obligations and enforce our Terms of Service.
5. Data Isolation
Custody runs on its own dedicated database, authentication, and keys. Each customer's data is isolated at the database layer with access denied by default. A carrier sees only what relates to its own loads. A shipper sees only the records for its own loads.
6. Data Sharing
We do not sell your data. We do not share data with third parties for advertising. We share data only with:
- Parties to a load: the shipper that covers a load receives its Evidence Pack. A carrier can see what is shared about its loads.
- People our customer chooses: a customer may send an Evidence Pack to its own claims team, auditors, insurers, or counsel.
- Service providers: infrastructure providers that host and process data on our behalf under data processing agreements. Today these are Supabase (database hosting), Vercel (application hosting), and Resend (email delivery).
- Timestamp authority: we send a cryptographic fingerprint of a finished pack, never its contents.
- Legal requirements: when required by law, regulation, or valid legal process.
7. Custody Premier Public Status
A carrier that holds Custody Premier status has a public status page showing its legal name, MC and DOT numbers, current status, active-since date, and Charter Member designation if it applies. The page shows no load data, shipper names, locations, or contact details. A carrier can leave the program and remove its page at any time by contacting us.
8. Data Retention
Evidence Packs exist to be available when a claim or audit arrives, which can be long after delivery. We retain Evidence Packs and their source records for 36 months after delivery, and for 36 months after a customer's agreement ends, unless a different period is required by law or agreed in a contract. Contact form submissions are kept only as long as needed to respond.
9. Security
We use encryption in transit and at rest, role-based access control, tenant isolation, audit logging of sensitive operations, and append-only, signed custody records. No system is completely secure, and we cannot guarantee absolute security, but we take reasonable and appropriate measures to protect your data.
10. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or restrict processing of your personal data. Because a custody record is evidence, we may be unable to alter or delete an entry inside a signed Evidence Pack, and we will tell you when that is the case. To exercise your rights, contact info@valveride.com. We will respond within 30 days.
11. Cookies
Our website uses only the minimal cookies required for sign-in. We do not use tracking cookies, third-party advertising cookies, or analytics that follow individuals across sites. Messages sent through the contact form on this site are delivered to us by our email provider, Resend.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active customers of material changes by email or in-platform notice. Continued use of the platform after notice constitutes acceptance of the updated policy.
